Terms and Conditions of Use of the ICSD Media Accreditation Platform

1. Introduction

Welcome to the ICSD Media Accreditation Platform (the “Platform”) for individual media accreditation to ICSD events. By using this Platform, you agree to these Terms and Conditions of Use (“TCU”), as well as all applicable laws and regulations. If you do not agree with these TCU, please do not use the Platform.

2. Purpose of the Platform

This Platform allows media professionals (journalists, photographers, videographers, technicians, broadcasters, content creators, etc.) to submit an accreditation request for the Winter Deaflympics 2027 (the “Event”), to follow the progress of their request, and to prepare their participation in media activities related to the Event on an individual basis.

The Platform collects the information needed to review accreditation requests (identity, supporting documents, professional background, media affiliation, etc.), as well as operational data needed for accreditation management, security, access organization, logistics, and regulatory requirements. The information provided is used by the International Committee of Sports for the Deaf (ICSD) and the Local Organizing Committee / Host Organization (collectively the “Organizers”) to process requests, carry out the necessary verifications, communicate with applicants, and organize media coverage of the Event. The Platform is intended solely for personal and non-commercial use. The processing of personal data is carried out in accordance with the applicable regulations and the Privacy Policy in Article 8.

3. Access and Registration

The Platform is open to media professionals who wish to submit an individual accreditation request. The User undertakes to provide accurate, complete, and up-to-date information. The User is solely responsible for maintaining the confidentiality of their account, login details, and password. ICSD reserves the right to suspend or terminate the User's access at any time, without prior notice, in the event of a breach of these TCU. Submitting a request does not guarantee that accreditation will be granted; accreditation is only issued after review and approval by ICSD and/or the Organizers, subject to acceptance of the Event Accreditation Conditions.

4. Use of the Platform

The User undertakes not to: use the Platform for unlawful or fraudulent purposes; disrupt its technical operation; publish unlawful, offensive, hateful, discriminatory, or defamatory content; access, manipulate, or interfere with the personal data of other Users or third parties without consent; use robots, crawlers, or other automated tools to collect information without prior written authorization.

5. Intellectual Property

All content on the Platform (texts, images, videos, graphics, logos, trademarks, documents, software, structure and layout) is protected by intellectual property laws and belongs to ICSD, the Organizers, or third parties who granted the necessary rights. The User undertakes not to copy, reproduce, distribute, transmit, broadcast, modify, or otherwise use the content without prior written authorization.

If accreditation is approved, the User authorizes ICSD, the Organizers, their affiliates, partners, and authorized third parties to use their image, likeness, name, voice, and accredited media activities in connection with the Winter Deaflympics 2027; ICSD events and activities; promotion of deaf sports; and archival, educational, historical, and communication purposes related to the ICSD Movement. The User acknowledges that, if accredited, their image may appear in media produced by ICSD, the Organizers, accredited media representatives, event participants and spectators, and/or authorized third parties.

6. User Responsibility

The User is solely responsible for their use of the Platform. ICSD and the Organizers cannot be held liable for direct or indirect damages resulting from the use of or inability to use the Platform, including loss of data, business opportunities, interruption of activities, or technical failures. The User guarantees compliance with all applicable laws and agrees to indemnify ICSD and the Organizers against any claim arising from a breach of these TCU.

7. Responsibility of ICSD and the Organizers

ICSD and the Organizers will make reasonable efforts to keep the Platform accurate and up to date but cannot guarantee accuracy, completeness, or availability. They reserve the right to modify, suspend, restrict, or discontinue access at any time without prior notice for technical, security, operational, or maintenance reasons, and shall not be liable for errors, omissions, interruptions, delays, or damages resulting from use of or inability to access the Platform.

8. Privacy Policy

8.1 Data Processing Authorization

By submitting an application, the User authorizes ICSD, the Local Organizing Committee / Host Organization, and any authorized third party acting on their behalf to process personal data necessary for accreditation, including but not limited to: name(s); date of birth; gender; nationality; contact details; passport or identity information; media affiliation; photographs; supporting accreditation documents.

8.2 Purpose of Data Processing

Personal data may be processed solely for: accreditation review and approval; security screening and verification; event access management; operational planning and logistics; communication with applicants; compliance with legal and regulatory obligations. ICSD and the Organizers may share personal data with competent authorities for security checks, engage service providers acting on their behalf, and share data with authorized third parties when strictly necessary for these purposes.

8.3 Data Retention

Personal data is retained only for as long as necessary to fulfil the above purposes and to comply with legal obligations. If an application is not approved, related personal data is retained only for the period necessary to manage the application and fulfil legal requirements before being deleted or archived.

8.4 User Rights

Subject to applicable law, the User has the right to access their personal data; request correction of inaccurate data; request deletion where applicable; request restriction of processing; and object to processing based on their circumstances. Requests may be submitted to the ICSD Data Protection Contact and the Event Organizing Committee Contact (addresses to be confirmed by ICSD).

9. Accreditation Processing

By submitting a request, the applicant acknowledges that all information and documents submitted may be shared with the relevant Event Organizing Committee for accreditation review, security screening, operational planning, event management, and access control. Accreditation fees are determined by ICSD and published in the applicable Event Media Accreditation Regulations. Payment of any required fees does not guarantee approval.

10. Links to External Websites

The Platform may contain links to external websites, provided solely for convenience and without endorsement. ICSD and the Organizers are not responsible for the content, availability, or privacy practices of third-party websites.

11. Language

These Terms and Conditions are published in English. Translations may be provided for convenience only. In the event of any discrepancy, the English version shall prevail.

12. Modification of the TCU

ICSD reserves the right to modify these Terms and Conditions at any time. Modifications become effective upon publication on the Platform. Users are encouraged to review the TCU regularly.

13. Applicable Law and Competent Jurisdiction

These TCU are governed by the laws applicable to the International Committee of Sports for the Deaf and, where relevant, the laws of the host country of the Winter Deaflympics 2027. Any dispute shall be subject to the competent courts or dispute-resolution mechanisms determined by ICSD and the applicable legal framework.

Cookie Management

The Platform uses authentication cookies that are essential to log in, maintain active sessions, access protected functions, and ensure security. These cookies do not collect personal information for marketing purposes and are used exclusively to verify identity and maintain secure access during a session. By using the Platform, the User accepts the use of these cookies. Refusing them via browser settings may limit or prevent access to certain functions.
